Position settings

These attributes are details that make up the position.

Department
An open list of values taken from your company’s Work table. This is a mandatory field.
Effective date
The date from which this position is budgeted for and should be filled. This can be different from the Start date if the position is filled later than expected. This is a mandatory field.
Employment type
An open list of values taken from your company’s Employment table, such as Fixed term, Permanent, or Intern.
Expected start date
The realistic forecast of the date on which the position can be filled. This is a mandatory field.
FTE
A numeric field representing the job % allocated to each “chair.” This is a mandatory field.
Job
The job name that describes the role for this position. This value or list of values must be created beforehand as part of the job attributes. This is a mandatory field.

Manager’s position ID
The identifier that allows the creation of a hierarchical org structure.
Position ID
A unique identifier combined with text, numbers, and other characters of your choosing. When creating a position using the wizard, this will be automatically filled by the system, but it can be changed to reflect the format chosen by your organization. This is a mandatory field.
Position type
An open list of values, such as Growth or Promotion.
Reason
Free text option to explain the need for the position.
Recruitment status
A closed list of values such as Open, Closed, and On Hold.
Site
An existing location previously set up in Bob. This is a mandatory field.

Position statuses

Understand the progress of filling a position.

Canceled
The position was open but is not vacant nor filled and will not be filled because there is no longer a need for the position.
Filled
The position is closed and connected to an employee.
Filled soon
The position is filled and connected to an employee who is not yet actively working in the position.
Vacant
The position is open and not connected to an employee.
Vacant soon
The position is filled and connected to an employee who is actively working in the position but will be leaving the position.

Who is involved in the planning event?

Planner Co-planner Reviewer
The direct manager responsible for planning the position.

Event components

Baseline positions
The number of positions that are already included in the planning event. These typically reflect the current status of the teams or what the expected status should be as a starting point.
Floating positions
Positions excluded from the event because they were not assigned to a planner who is part of the event.
Positions post-plan
The number of positions that will exist after the event ends and all positions are approved, which then updates the baseline.
Worksheet
A sheet that hosts all the planners and their positions. You can view and manage planners' and reviewers' worksheets.

Event statuses

Understand the progress of a workforce planning event.

Approval in progress
All planners finished planning, and the event outcomes are under approval.
Approved
The event outcomes are approved, and the Admin needs to update the positions to finalize the outcomes in position management.
Draft
The event is in the setup phase.
Ended
The event outcomes are included in position management.
Pre-launch
The event is set up and prepared but not running.
Running
The event is running and cannot be edited. All planners will be notified of the event.
