Use this for your first-ever import or to add many new employees at one time.


Note: The initial import is the only time you can import terminated employees.

Before you begin

We recommend downloading and using the employee data template to import your people data. From the left menu, select People > Import. Click Import People. Click the download icon at the bottom of the page to download the employee data template.

How to import data

  1. From the left menu, select People > Import.
  2. Click Import People.

    Tip: Click View import history to add a new file with the import file uploader or select a previously uploaded file. Here, you can also have people data reviewed by someone before you upload and see who used the Login As feature to upload or import a file.

  3. Make sure your sites have been defined as it is a required field in this template.

    Note: Only 500 records can be uploaded at a time. Please prepare your data files accordingly to allow for a smooth import process.

  4. Once you have your data in the template, you can upload it. Click Upload and follow the steps (if you are on the same page), or click Import People again and follow the prompts.

    Tip: Make sure you select the correct sheet for the data you want to import.

  5. Once you've uploaded your sheet, any anomalies, and values that need might need to be manually sorted will automatically be flagged.
  6. Click Next.
    A mini report detailing rows that have successfully been imported, and any errors, will be displayed. You can download this report to know what you need to fix and import again.

How to update other employee information

Once you have created employees' profiles, you will need to re-import to add additional information, such as emergency contact info, financial details, etc.

You will also need to complete further imports to the different tables located on peoples' profiles, such as the work or employment tables.

Note: This process can also be followed to update people's data at any time to add more information.

Next, update people's data to add more relevant information to your employees' profiles.

If you prefer to start importing data to some of the tables on peoples' profiles (for example the work or employment tables), you can import table data next.


What happens if I have errors?

If your import doesn't match, you'll receive errors. The easiest way to fix these errors is to download the error report. This will give you a spreadsheet in the correct format for re-upload, with one line for each error.

In the last column of the data, you will find the error reason. Once you have corrected your data, you can use this same spreadsheet to upload the new information. Use the same button (import or update) that you used initially.

Can I import data into a document field type?

This is not yet supported in the column matching step of the import process into employee fields. However, you can import sets of documents into employee folders in Docs. To learn more, see Import documents in bulk.
