Save time by creating multiple employee profiles all at once. Use this for your first-ever import or to add many new employees at one time.

Note: The initial import is the only time you can import terminated employees.

Before you begin

  • Make sure your sites have been defined, as it is a required field in the import.
  • We recommend downloading and using the employee data template to import your people data.

How to import data

  1. From the left menu, select Settings > Import.
  2. In the Add or update people’s information section, click Go to People import.
  3. Click Import people.
  4. Click the download icon at the bottom of the page to download the employee data template.
    Prepare your import within this template or match your existing spreadsheet to this template to ensure a smooth import.

    Note: Only 500 records can be uploaded at a time. Please prepare your data files accordingly to allow for a smooth import process.

  5. Click select from uploaded files to add a new file with the import file uploader or select a previously uploaded file. Here, you can also have people data reviewed by someone before you upload and see who used the Login As feature to upload or import a file. To learn more, see Getting started with Import.
  6. Once you have your data in the template, you can upload it. Click Upload and follow the steps (if you are on the same page), or click Import People again and follow the prompts.

    Tip: Make sure you select the correct sheet for the data you want to import.

  7. Once you've uploaded your sheet, any anomalies and values that need might need to be manually sorted will automatically be flagged.
  8. Click Next.
    A report detailing rows that have successfully been imported, and any errors, will be displayed. You can download this report to know what you need to fix and import again.

FAQs

What happens if I have errors?
If your import doesn't match, you'll receive errors. The easiest way to fix these errors is to download the error report. This will give you a spreadsheet in the correct format for re-upload, with one line for each error.

In the last column of the data, you will find the error reason. Once you have corrected your data, you can use this same spreadsheet to upload the new information. Use the same button (import or update) that you used initially.

How do I import and update other employee details after the initial import?
Once you have created employees' profiles, you will need to import additional information, such as emergency contact info, financial details, etc.

Update people data to add more relevant information to your employees' profiles. Import table data to add historical, future, and multiple-entry data into work and employment tables, for example.

Can I import data into a document field type?
This is not yet supported in the column-matching step of the import process into employee fields. However, you can import sets of documents into employee folders in Docs. To learn more, see Import documents in bulk.
