Site event calendars help managers and employees manage their time by letting them know the dates of upcoming public holidays and company events in the country or region they are working in.

Get the most out of Bob

You can create as many event calendars as you need and apply each one to employees working out of a particular site.

  • The event dates appear in the Events this week widget on the Bob home page as well as in the Time off calendar.
  • These events/holidays are taken into consideration when an employee requests time off.
  • The dates are taken from a global data set from third party provider timeanddate.com.
  • You can customize your calendar by:
    • Adding extra events, such as a quarterly wellness day or a company fun day.
    • Removing any irrelevant holiday dates.
    • Editing details of an existing event.

Note: Once you have added and customized the relevant calendars they will be available when setting up your sites. To learn more, see Add a site.

How to add a new calendar

  1. From the left menu, select Settings > Calendars.
  2. Click Add calendar.
    The Add calendar popup opens.
  3. Enter a Calendar name.
  4. Enter a Description.
  5. Pick a Template, such as “English holiday calendar”.
  6. Select the Language the calendar will be displayed in.

    Note: The calendar will be appear in this language irrespective of who is viewing it. E.g. If the holiday calendar for the Chinese site is set to be displayed in Chinese, an employee in the US site will still see the calendar in Chinese.

  7. A preview of the calendar will be displayed in the popup.
  8. Click Add calendar.
  9. You will be taken to the Edit calendar details view where you can make any changes to the calendar.
    Once a calendar has been added it will appear at the top of the Calendars list and will be available for selection in the Site settings.

How to edit a calendar’s details

  1. On the Calendars list page, click on the calendar entry.

    This opens the page for that calendar.

  2. From the Calendar actions dropdown, select Edit.
    The Edit calendar details popup appears.
  3. Enter a new Calendar name and/or Description.
  4. Click Save.

How to add an event to a calendar

  1. On the Calendars list page, click on the calendar entry.
  2. This opens the page for that calendar.
  3. Click + Add Event at the top right of the calendar.
  4. The Add event popup appears.
  5. Enter an Event name.
  6. In the From and To fields, select the time period the event covers.
  7. If the event covers a single day, in the Time period dropdown, select whether the event covers a Full day or just part of it (Morning or Afternoon).
  8. From the Employee activity dropdown, select whether this is a paid day off i.e. employees are Not working, or employees are expected to be Working.

    Note: This selection affects time off balances. If an employee requests time off for a period which includes a 'Not working' calendar event that time will not be deducted from the balance. And if it is a 'Working' event it will be deducted. 

  9. Click Save.

How to edit an event

  1. On the Calendars list page, click on the calendar entry.
    This opens the page for that calendar.
  2. On the right of the event row click the three-dot menu and select Edit.
  3. As necessary, edit the Event name, From and To fields, Time period dropdown and Employee activity.
  4. Click Save.

FAQs

Can I delete a calendar?

You can delete a calendar only if it has not been assigned to any site or employee. On the page for that calendar, from the Calendar actions dropdown, select Delete. Then, in the Delete calendar popup click Delete.

Can I duplicate an event calendar?

Yes, you can duplicate an event calendar. Open the page for that calendar and from the Calendar actions dropdown, select Duplicate. Then, in the Duplicate calendar popup edit the Calendar name and Description and click Duplicate. A new calendar containing exactly the same events as the original will be created, which you can then edit. This could be useful if you have multiple sites in the same country which share most events and holidays but have some variation.

Can I delete an event from a calendar?

Absolutely, you can delete an event. On the page for that calendar, click the three-dot menu on the right of the event row and select Delete. Then, in the Delete event popup click Delete.

Can I download an event calendar as a spreadsheet?

Sure. You can download any event calendar by opening the page for that calendar and clicking the download icon next to + Add Event at the top right of the calendar. It will then be saved on your computer.
