How to use the app's homepage

The Bob app homepage is the default page that appears when you log in. At any point, you can click on the home icon, located on the bottom navigation bar, to return to the homepage.

How to manually Clock in and Clock out 

Documenting your work hours is just one click away! To manually clock in and clock out:

  1. Click Clock in at the top of the homepage.

  2. Select the time you would like to record your clock in; the default will be the current time. Scroll to edit the hour and minute. When you reach your desired time, click the Clock in button. The moment you clock in, your homepage will reflect this change by automatically switching the Clock in option to a Clock out option.

  3. Click Clock out to record your clock out time; the default will be the current time. Scroll to edit the hour and minute. and click the Clock out button.

    Note: you will only be able to clock out at the present time or an earlier time. You cannot clock out at a future time.

How to Request Time off

Whether you have a vacation planned during the holidays, or suddenly caught a cold and need to call out sick, the Bob app is the quickest and most convenient way to request time off:

  1. From the homepage, click the  Request time off button, (alternately you can request time off via the Main menu > Time off).

  2. Select a Policy from the dropdown. Scroll through the different policy options and when you've made your choice, click Done.

  3. Select the desired date range by clicking on the tiles under When:

    - To select the Start date, click on the left tile and scroll through the date wheel. You can also select Tomorrow, if you'd like to take off tomorrow. Choose whether you'd like the entire day off by selecting All Day. Click Done to save.
    - To select the End date, click on the right tile and scroll through the date wheel. Choose whether you'd like the entire day off by selecting All Day. Click Done to save.
  4. Add comments or a description in the Description field if you'd like to give your manager more information about your request.

  5. To attach any images or files, click the Paper clip icon and either Take a picture or Pick a document to upload from your phone.
  6. Click the Send arrow to submit your request.

Note: A submitted time off request will be sent to your direct manager. You can track the status of your request in the Time Off area of the app. It will remain in Pending status until an action is taken.

How to complete or update fields in My profile

Your profile is your work biography; it contains your job details and the personal information you choose to share e.g., hobbies, telephone number. It also serves as a record of your private details, e.g., bank information and equity. Ensure that your profile stays current by updating fields, even on the go:

  1. From the homepage, click My Profile. You will be presented with a summary of your profile, followed by the posts you've created and the mentions where you've been tagged.
  2. Click Edit Profile.
  3. Scroll down the list of categories and click Edit next to the category that you'd like to update.
  4. Edit any section by clicking on that specific section and either entering new information or selecting from a set of options, e.g., Equipment > Computer > Lenovo Thinkpad 14, then click Done.
  5. Click Save. You will receive a confirmation that your update was successful.

How to add or update your profile image, video, or name pronunciation

Today's workforce is digital, remote and global. Interactions are often limited to zoom or text; That's why it's more important than ever to add a face and personality to your name. It makes the connection between colleagues stronger, more personal and memorable. Within a few clicks, you can add a smiling profile pic, introductory video and even an audio clip of your name pronunciation (great for international teams)!

  1. From the homepage, click My profile.
  2. Click the + sign on your picture to add an image, video or name pronunciation. You also have the option to edit existing images, videos or audio clips.
  3. To add an image, click Add profile picture. To replace your current image, click Edit profile picture: Select Choose photo to upload a new image from your phone or Take Photo to take a picture on-the-spot. If this is the first time editing an image on the app, you will be asked if Hibob can get access to your camera. Click allow (this time or while using app). After allowing, take the picture; The image will be automatically added to your profile.
    If you are unhappy with the new image, click Restore default to revert back to your original picture; Then confirm by clicking Restore default again.  
  4. To add a video, click Add profile video. Select Take video to record a video on-the-spot or Choose video to upload a video from your phone. If this is the first time uploading a video on the app, you will be asked if Hibob can get access to your camera. Click allow (this time or while using app). After allowing, record the video; The video will be automatically added to your profile.
  5. To replace your current video, click View or change profile video. Your video will appear; click the trash bin icon to delete the video, or the X to keep the video and go back to your profile.
  6. To add a voice clip, click Add name pronunciation. Click on the microphone icon once to record your message (e.g., name pronunciation) and then a second time to stop the recording. Click the play button to listen to your recording. 
    If you are happy with your audio clip, click the check mark and it will automatically be added to your profile, if you would like to record a new clip, click the circular refresh arrow; repeat as often as you like until you are satisfied with your audio clip
  7. To replace your current audio clip, click Edit name pronunciation; Alternately, you can click the sound icon next to your profile picture. Re-record your message as per instructions in the previous step. If you would like to delete the voice clip from your profile, click the trash bin icon. Click the X to keep the current audio clip and go back to your profile.

How to create a Shoutout or Kudos

Let employees and colleagues in your company know what's going on by posting in your social newsfeed! Shoutouts are the quick and public way to share status updates, announce  milestones, and communicate vital company news. In addition, you can post Kudos to recognize your colleagues' great achievements!  The best part is that employees can easily engage with your posts by reacting, asking questions, or commenting.

  1. Click Post something, located at the top of the homepage.

  2. To choose who sees your post, select Your site or Entire company from the dropdown. 
  3. Type your message. You can add emojis, photos, videos or kudos in place of text, or in addition to text.
  4. Click the camera icon to take an instant photo or video, and attach it to the post. Select Take photo or Take video. You will be asked if Hibob can get access to your camera, click allow (this time or while using app). After allowing, take the picture or record the video. The image or video will be automatically added to the post. Click OK to proceed. Click the X on the image/video if you would like to delete it. 

  5. Click the picture icon to upload an image or video from your camera. Choose one or more images and or videos and click Done (you can add videos and pictures together). The image or video will be automatically added to the post. Click the X on any of the images/videos that you'd like to delete. 
  6. Click the Trophy icon to add a Kudos. Type your message and tag the person/people that you'd like to recognize using @name, e.g., @Monica.Wilson.
  7. Click the X on the post if you would like to delete, save or continue editing the post:
    - Click Discard shoutout to delete. 
    - Click Save draft to post at a future time.
    - Click continue editing to make changes.
  8. When you're ready to post, click Post to share your shoutout, kudos or message to the newsfeed.

    Note: As soon as the post is posted, employees can view, react and comment. Click React to add an emoji and comment to type a message.

  9. Click the back arrow on the bottom Navigation bar to go back to the homepage. 
  10. To delete your post, once it's already been posted, click the 3 dot menu on the top right of the post and then Delete.
  11. To Pin your post to the top, click the 3 dot menu on the top right of the post and then Pin post to top. This post will remain as the first post seen in the feed until it is unpinned.
  12. Click any profile picture to see a summary of the individual, including their work experience at the company.

How to search for people via the People directory

The People directory allows you to search and view the profiles of everyone at your company. Use the directory to learn more about each person's role in your organization, including their team and manager. In addition, stay up-to-date on their birthdays and work anniversaries and prepare for their time off, such as upcoming vacation or maternity leave. Screen Shot 2022-11-16 at 18.32.02.png

  1. From the homepage, click on the People icon, located at the bottom navigation bar.

  2. Enter the name of a specific person in the Search field. Alternately, you can search via department or site.

  3. Scroll down to browse the names of all employees in alphabetical order.

  4. Scroll across to see images of the people you've recently searched.
  5. Click any name or image to view the individual's profile and access their contact details.

How to contact a colleague via email, phone and more

If you'd like to communicate with a colleague, on the go, you can do so through multiple platforms, all in one spot: Screen Shot 2022-11-16 at 18.17.25.png

  1. Click on a profile picture from the homepage or a name from the people directory to access the coworker's profile. 

  2. Click the phone icon , email icon, or more to start a conversation with the profile owner.

    Note: if Slack, Skype or additional platforms are set up for communication by the company, you will have the option to use these platforms as well.

The main menu is the go-to area to view, update, and make changes to the most crucial job-related actions. You can head there by clicking on the smiley face icon, located on the navigation bar at the the bottom of the homepage.
