Track, analyze and optimize processes such as employee workplace management, employee programs, and more with the Headcount KPI.  

Located in the Analytics module under the Growth KPI category, the Headcount KPI is one of a set of vital HR KPIs that provides data on the number of employees at your company in a specific time period, according to the number of employees on the last day of that period. An important tool to review and communicate company growth over time, headcount data is a central metric for your HR toolbox.


How to use the Headcount KPI

When you head over to the Headcount KPI, you can see the number of employees for a particular month, quarter, or year with a range of filters and groupings. Data is displayed for each period in the selected time range. The KPI, also takes into consideration all employees placed on leave.


Before you begin

You can edit settings to view KPI data for a particular month, quarter, or year; over any time period. Once you configure these settings, it will impact how all the KPI categories will be showcased. In addition:

  • Make sure your employees' start dates are up-to-date.

  • Verify that your permissions include viewing other employees' work and lifecycle sections.

How to configure the Headcount KPI dashboard

Define how you’d like to review the Headcount KPI data. You can choose from an array of analytics options to view your data, including condition-based filtering, several different chart types, and more.

  1. From the left menu, select Analytics > KPI Dashboards > Growth.

  2. To slice, dice and filter your data, click Group By and from the dropdown, select or type in your choice e.g., site.

  3. Click on the arrow ∨ to the right of the chart symbol.

  4. Click on the desired chart type.
    Note: certain chart types may not be available in instances where they are irrelevant to the chosen data set.

  5. Click the subgroups in the legend to deselect them from the view, and click on them again so that they reappear on the chart.

  6. Activate the Over time toggle to see the total sum of the KPI data over the entire period selected in the Date range described above. This will override the KPI category View setting.
    For over time with the column chart option choose whether to activate:
    - Stacked toggle to view the chart in a regular stacked bar view or click the radio button next to 100% to view over 100% of the chart’s area.
    - Target headcount toggle to view the target headcount as entered into Hiring area as an overlay.
    For over time with the bar chart option:
    - Click the horizontal bar chart icon to view your KPI data in a horizontal bar view.
    You may also activate the Stacked toggle to view the chart in a regular stacked bar view or over 100% of the chart’s area.

  7. Activate the Values toggle to showcase the numerical value of the data set and click Apply.

Note: activating or deactivating the Over time toggle impacts the available chart types.

Tip: If you’d like to see the total target headcount as an overlay, then select -None- in Grouped By.


8. To add additional filters, click the three dot menu followed by Filter
- Use the dropdowns to select fields and configure conditions to filter by
- Click + Add condition to create additional rules and repeat as many times as you'd like
- To remove a condition, hover over it, and click the trash icon that appears to the right of the condition
- Press Apply

9. To reset your chart configurations, click the three dot menu followed by Reset

10. To download the chart, click the three dot menu followed by Download and then the file type you’d like to download it as. You can export a chart as a .png, .jpeg, .pdf or .svg file.

11. To see the in-depth employee data included in the KPI view you have configured, click View more details under the chart
- Click on a part of the chart (e.g. one of the bars in a bar chart or a segment in the donut chart). The table below the chart will display the data that specifically matches the grouping you selected, showing all of the people that belong to that group.
- Use the column picker found in the top right of the table to add or remove employee information in the table

- Click on the download button to the right of the column picker to download the employee data either as an .xlsx or .csv file

- Click Back at the top left of your screen to return to the dashboard
