So you’ve got your payroll integration(s) and pay cycle(s) all set up with bob-excellent! Now it’s time to review your payroll data in bob, and then sync with your payroll system(s).

How to read bob’s payroll dashboards

When you go into bob’s Payroll Hub, you’ll see one or more pay cycles as set up and activated by your organization. Each pay cycle can be viewed at a high-level, summary view, or in depth where all time off activities related to that policy can be reviewed.

The following information is seen immediately:

  • Cycle: the name given to the cycle, e.g. US Salaried, Germany contractors, etc.

  • Status: the cycle’s current overall status. Each pay cycle will display its current status from one of the following statuses in the Payroll Hub:

    • Open: a cycle to which relevant employee data is being inputted to the relevant pay cycle reports

    • Pending review: a cycle that is about to close and requires the pay cycle owner’s review and action prior to its end date

    • Complete: a cycle for which all data has been synced with the target payroll system

    • Closed: a cycle that has ended and can no longer be acted upon, but may be reviewed via a downloadable report

  • Cycle range: the first to last date of each pay cycle. The cycle opens on the first day and gets closed and locked on the last day of the range.

  • Review date: a review date set on or before the cycle’s end date for the pay cycle owner(s) to manage and sync the data between bob and the payroll system

  • Pay day: the day in which the organization pays its employees in that pay cycle, occurring on or after the last day of the cycle range

To expand and review the payroll reports of a particular pay cycle, click on it, from which you can access the following payroll data reports:

Report name

Who it includes

New Employee Report

New hire

The new hires in a given cycle

Note: employees will be either added to a cycle because their bob user creation date or official start date occurred within the cycle’s date range

Employee Changes Report

Changes

The defined employee changes (e.g. salary changes, job titles) as set up in the selected payroll system integration and that occurred within the cycle’s date range.

Employee data changes will be highlighted in this report.

Termination Report

Terminations

The employees leaving permanently as set up in the selected payroll system integration and that occurred within the cycle’s date range

Notes:

  • Each pay cycle will show the reports and payroll data as set up in the pay cycle settings

  • Pay cycles linked with Trinet will only display the New Employee and Employee Changes reports

If you’re using more than one payroll integration then you can see which pay cycle is connected with which integration using the Target format column. If the integration is done through a custom connection via bob’s Payroll Connect then the name of the custom connection will be displayed.

To review a report, click on it and follow the instructions below.

How to review a current pay cycle report

To review a specific pay cycle report, follow these steps:

  1. Click on Payroll in the main menu

  2. Click on the desire pay cycle

  3. Click on the desired pay cycle’s report

Once you’ve selected a specific pay cycle’s payroll report, you’ll be able to review everyone whose data matches the require payroll data as of today, e.g. an employee whose promotion was recorded in bob today will appear in the Changes report today along with anyone else who was promoted within the cycle’s date range.

bob will indicate when the last cycle occurred as well as what data issues require fixing before submitting to the payroll system, specifically noting them per each person with the ability to resolve them right from the screen.

Specifically in the Changes report, all of the employee data changes are highlighted for quick data review.

Within the report, you can:

  • Change the layout of the columns by clicking on and dragging each column to the desired sport

  • Sort data by clicking on a column title
    Note: this action will affect the entire table

    • Alphabetical orientation (A-Z or Z-A)

      • Click on the column title to switch between an A-Z and Z-A alphabetical li

    • Numerical orientation (from smallest-to-largest or largest-to-smallest)

      • Click on the column title to switch between a smallest-largest and largest to smallest numerical ordering

  • Click on the Report type dropdown to switch between the pay cycle’s report types by selecting a different report

  • Click on the Cycle dropdown to switch between overlapping cycle reports by selecting a different cycle report, e.g. a cycle from Nov. 1-14 is pending review while the cycle from Nov. 15-Nov. 30 is open

  • Filter between the data transfer status of each person in the Status dropdown by selecting a particular status. There are two data transfer statuses:

    • Pending: the person’s information has yet to be synced or exported

    • Complete: the person’s information has successfully been synced

  • Search for a particular person using the search bar

  • Download the report using the download icon on top of the people table

How to manage and sync/export a current pay cycle report

Depending on how the pay cycle was set up, you’ll either be prompted to sync the data to the payroll system or export it. To sync or export people’s payroll data of a specific report, follow these steps:

  1. Go to the desired pay cycle’s payroll report

  2. You may sync people’s payroll data in one of two ways:

    1. Sync everyone’s payroll data at once:

      1. Press the Sync or Download button

    2. Sync particular people’s payroll data:

      1. Scroll or search for the people you'd like to include

      2. Tick the boxes to the left of the people you'd like to include

      3. Press the Sync or Download button
        Note: the number of people selected will be written in parentheses

bob will indicate when the last cycle occurred as well as what data issues require fixing before submitting to the payroll system, specifically noting them per each person with the ability to resolve them right from the screen. Once resolved, you may sync/export again.

How to review and download previous pay cycle reports

After the cycle is closed, the payroll data reports are available for download in the Closed Cycles tab in bob’s Payroll Hub.

To locate and download a closed pay cycle payroll report:

  1. Go to Payroll in the main menu

  2. Click on the Closed Cycles tab at the top left of the screen

  3. To locate particular pay cycles, you may do one of the following:

    1. Scroll down the page

    2. Filter per pay cycle by clicking the Pay cycle dropdown above the pay cycles table

      1. Scroll or search for the pay cycle(s) you'd like to include

      2. Tick the boxes to the left of the pay cycle(s) you'd like to include

      3. Click Apply

    3. Click the Advanced option to the right of the Pay cycle dropdown and use Custom filters to view pay cycles by a set of conditions:

      1. To add a new condition, click + Add condition and select the desired values in each of the dropdowns from left to right

      2. Repeat to add more conditions

      3. Click Apply

    4. Use the search bar to look for pay cycle(s) by searching either:

      1. The Pay cycle name

      2. Target format

      3. Report Type

      4. Report name

  4. To review a pay cycle report’s data, click on its three dot menu on the right

    1. Select Download

    2. Repeat as needed

And there you go! Your selected past payroll cycle report is ready for your review in a csv file.
