You can easily configure any report schedules you've created in bob in the Scheduled reports page. To learn how to create report schedules, go here.

Using the Scheduled reports page, you can instantly download, edit, de- and reactivate, and delete any of your scheduled reports at any time.

How to instantly download a scheduled report

Use this method if you’d like to run a report, or a batch of reports, that you have scheduled now as a one-off while maintaining the set report schedule.

  1. Go to Analytics

  2. Click on Reports

  3. Click on Scheduled reports at the top right of the reports table

  4. Click on the row of the report schedule you’d like to download now

  5. To run up-to-date report(s)

  6. To download a copy of one of the last sent report(s), click on the download arrow icon of the date you’d like to download in the Last sent section. The file(s) will download directly.

Edit Scheduled Reports

You can make changes to your report schedules from adding and removing reports and recipients all the way to changing delivery frequency and format.

  1. Go to Analytics

  2. Click on Reports

  3. Click on Scheduled reports at the top right of the reports table

  4. Enter a Scheduling name, e.g. Monthly address changes UK

  5. Click the Reports dropdown to add or remove any reports
    a. Scroll or search for the reports you wish to add or remove
    b. To add a report, tick the empty box next to the report you wish to add
    c. To remove a report, uncheck the box next to the report you wish to remove and click Apply

  6. Select at least one recipient type in the Recipients section. Note: Recipients will receive sensitive data even if they don't have the permissions to view it in bob.
    a. Add/remove Recipients
    i. Scroll or search for the employee(s) that you’d like to add and select them by clicking on their names
    ii. Scroll or search for the employee(s) that you’d like to remove deselect t them by clicking on their names
    iii. Click Apply
    b. Add/remove Storage Routing SFTP and/or S3 servers
    i. Select the destination you’d like to transfer the data to and click Apply
    ii. Deselect the destination for which you’d like to stop data transfer to and click Apply
    Note: using the SFTP/S3 option is only possible once defined in Integrations in bob
    c. Add/remove External emails
    i. To add external recipients, enter their email address(es), pressing Enter after each email address
    ii. To remove external recipients, click the X to the right of the email address(es) of external recipients you wish to remove

  7. Select the Frequency of the report delivery:
    a. Choose one of the schedule Period options:
    i. Quarterly (i.e. once per quarter)
    1. Select the months during which the report(s) will be sent each quarter in the Months dropdown
    2. Search for or scroll to select the day of the month during which report(s) will be sent in the Day dropdown
    3. Click Apply
    ii. Monthly
    1. Search for or scroll to select the day of the month during which report(s) will be sent in the Day dropdown
    iii. Semi-monthly (i.e. twice a month)
    1. Search for or scroll to select the first instance of the month during which report(s) will be sent in the First day dropdown
    2. Search for or scroll to select the second instance of the month during which report(s) will be sent in the Second day dropdown
    iv. Bi-weekly (i.e. every two weeks)
    1. Pick a date via the calendar under Starting from to begin a biweekly scheduling automation
    v. Bi-weekly (i.e. every two weeks)
    1. Choose a day of the week via the dropdown
    vi. Daily
    b. Enter the Time of day the reports will be sent.
    Note: this will be based on the schedule creator’s timezone
    9. Select the File format of the reports via the dropdown
    a. xlsx format
    i. Click the Merge report to multiple sheets to merge the selected reports into multiple sheets within one Excel document
    ii. Secure your file(s) by activating the Encrypt file toggle
    1. Enter the password in the Password field
    Note: if you’re sending the report(s) to anyone else, make sure to give them the password. The same password will apply to all files
    b. csv format
    10. Choose whether to Save and run or Save the report schedule
    a. Save and run will immediately send the select reports on a one-off basis, and then based on the selected Frequency
    b. Save will initiate the selected report scheduling from the first instance according to the selected Frequency

Deactivate/Reactivate a Report Schedule

When a report schedule is created, it is automatically active. You can easily deactivate and reactivate report schedules.

To deactivate a Report Schedule:

  1. Go to Analytics

  2. Click on Reports

  3. Click on Scheduled reports at the top right of the reports table

  4. Click on the row of the active report schedule you’d like to deactivate

  5. Click on the Actions button on the top right of the table

  6. Select Mark as Inactive

The report will display as Inactive in the Scheduled Reports page.

To reactivate a Report Schedule:

  1. Go to Analytics

  2. Click on Reports

  3. Click on Scheduled reports at the top right of the reports table

  4. Click on the row of the inactive report schedule you’d like to reactivate

  5. Click on the Actions button on the top right of the table

  6. Select Mark as Active

The report will display as Active in the Scheduled Reports page.

Delete a Report Schedule

To delete a report, follow these steps:

  1. Go to Analytics

  2. Click on Reports

  3. Click on Scheduled reports at the top right of the reports table

  4. Click on the row of the report schedule you’d like to delete

  5. Click on the Actions button on the top right of the table

  6. Select Delete

  7. Click Continue
