We recognize that some reports will be critical to your daily operations so you can schedule any of your saved reports in bob to automatically send xlsx or csv files to yourself, your colleagues, and external parties via email.

There are several ways to set your report scheduling:

  1. Using the Scheduled reports page

  2. Selecting reports from the main Reports page

  3. Scheduling a report from a specific report page

The reports will be sent either via email, to an integrated storage system, or both, as xlsx or csv files.

Note: if you plan to use an integrated storage solution to store the reports, go here to ensure

Method 1: Scheduled reports page

Using this method, you can batch a recurring delivery of one or more reports. This can be helpful if you’re grouping reports by a particular theme (e.g. payroll, performance, etc.) that might not necessarily be in the same report folder.

  1. Go to Analytics

  2. Click on Reports

  3. Click on Scheduled reports at the top right of the reports table

  4. Click the New schedule button to add a new schedule

5. Enter a Scheduling name

6. Choose which reports to include by searching for them or selecting them via the Reports dropdown

7. Select at least one recipient type in the Recipients section.
Note: Recipients will receive sensitive data even if they don't have the permissions to view it in bob.

a. Recipients
i. Scroll or search for the employee(s) that you’d like to select and click to add
ii. Click Apply

b. SFTP and/or S3 servers
i. Select the destination you’d like to transfer the data to

ii. Click Apply
Note: using the SFTP/S3 option is only possible once defined in Integrations in bob
c. External emails
i. Enter the email address of an external recipient
ii. Press Enter
iii. Repeat as needed

8. Select the Frequency of the report delivery:

a. Choose one of the schedule Period options:
i. Quarterly (i.e. once per quarter)
1. Select the months during which the report(s) will be sent each quarter in the Months dropdown

2. Search for or scroll to select the day of the month during which report(s) will be sent in the Day dropdown
3. Click Apply
ii. Monthly
1. Search for or scroll to select the day of the month during which report(s) will be sent in the Day dropdown

iii. Semi-monthly (i.e. twice a month)
1. Search for or scroll to select the first instance of the month during which report(s) will be sent in the First day dropdown

2. Search for or scroll to select the second instance of the month during which report(s) will be sent in the Second day dropdown
iv. Bi-weekly (i.e. every two weeks)
1. Pick a date via the calendar under Starting from to begin a biweekly scheduling automation

v. Bi-weekly (i.e. every two weeks)
1. Choose a day of the week via the dropdown

vi. Daily
b. Enter the Time of day the reports will be sent.
Note: this will be based on the schedule creator’s timezone
9. Select the File format of the reports via the dropdown
a. xlsx format
i. Click the Merge report to multiple sheets to merge the selected reports into multiple sheets within one Excel document
ii. Secure your file(s) by activating the Encrypt file toggle

1. Enter the password in the Password field
Note: if you’re sending the report(s) to anyone else, make sure to give them the password. The same password will apply to all files
b. csv format
10. Choose whether to Save and run or Save the report schedule
a. Save and run will immediately send the select reports on a one-off basis, and then based on the selected Frequency
b. Save will initiate the selected report scheduling from the first instance according to the selected Frequency

Method 2: Selecting reports from the main Reports page

Select one or more reports from the main Reports page to initiate report scheduling. When using this method, you’ll only be able to select multiple reports that are in the same folder.

  1. Go to Analytics

  2. Click on Reports

  3. Click on the checkbox to the left of each of the reports that you’d like to schedule in the reports table.
    Note: you can only select multiple reports if they are in the same folder

  4. Click on the Actions button above the table

  5. Select Schedule

6. Choose which reports to include by searching for them or selecting them via the Reports dropdown

7. Select at least one recipient type in the Recipients section.
Note: Recipients will receive sensitive data even if they don't have the permissions to view it in bob.

a. Recipients
i. Scroll or search for the employee(s) that you’d like to select and click to add
ii. Click Apply

b. SFTP and/or S3 servers

Method 3: Scheduling a report from a specific report page

Use this method to schedule a particular report right from the specific report page.

  1. Go to Analytics

  2. Click on Reports

  3. Click on the desired report folder

  4. Click on the report that you’d like to schedule

  5. Click on the More button at the top right of the report page

  6. Click on Schedule

7. Select at least one recipient type in the Recipients section.
Note: Recipients will receive sensitive data even if they don't have the permissions to view it in bob.

a. Recipients
i. Scroll or search for the employee(s) that you’d like to select and click to add
ii. Click Apply

b. SFTP and/or S3 servers
i. Select the destination you’d like to transfer the data to
